FAQ · Reporting to owners

Reporting to owners

What to put in a monthly marketing report, how to calculate cost per lease, and attribution basics.

What marketing metrics do owners care about most?

Owners often focus on outcomes: leases, occupancy, cost per lease and how fast vacant units are filled, more than clicks or impressions. This is practitioner guidance, not a study finding.

Use traffic and lead numbers to explain the outcomes, not to replace them.

In Google Analytics, mark actions like tour bookings, calls and applications as key events. Google defines a key event as an action that is particularly important to the success of your business.

A simple owner view: leases signed, cost per lease by channel, lead-to-lease rate by source, occupancy trend and reputation trend.

How do I calculate cost per lease by channel?

Divide what you spent on a channel in a period by the number of signed leases you can trace to that channel in the same period.

The hard part is tracing leases to a source. Use UTM tags, tracking numbers and a required source field in your CRM.

Include all costs for the channel, such as listing subscriptions, ad spend and agency fees, so channels are compared fairly.

Use the same time window and attribution rule every month so the numbers are comparable.

What should a monthly apartment marketing report include?

A short summary of results against goal, then leases and cost per lease by channel, lead and tour trends, website and search performance, reputation, and what you will change next month.

Lead with the answer: did we hit the lease goal, and why or why not.

Then support it: leads, tours and leases by source; spend and cost per lease; organic search clicks and impressions from Search Console; review count and rating trends.

End with actions. Owners want to know what you will do differently, not just what happened.

What is marketing attribution, in plain terms?

Attribution is how you decide which marketing touch gets credit for a lead or lease when a renter interacted with several channels.

Google Ads explains that attribution models let you choose how much credit each ad interaction gets for your conversions.

A last click model gives all credit to the final click. Data-driven models spread credit based on your own past data.

No model is perfect. Pick one, explain it to your owner, and keep it consistent.

What are UTM tags and why do they matter for reporting?

UTM tags are short labels added to the end of a link that tell Google Analytics where a visitor came from, such as which campaign or listing site.

Google Analytics says adding UTM parameters to links in referral links and ad campaigns lets you see which campaigns refer traffic.

Always include source, medium and campaign. Use lowercase and a consistent naming scheme.

Which Search Console metrics should go in an owner report?

Clicks and impressions from organic search are two common metrics, best shown as a trend over several months.

Search Console defines clicks as the number of times a user clicked your site from Google Search results, and impressions as how many times your site appeared in search results.

Show the trend and the top search queries, especially ones that include your community name or neighborhood.

Pair it with leads from organic search so the owner sees the business result.

Why don't my CRM, Google Analytics and listing site numbers match?

Each system counts differently, so some mismatch is normal; the goal is to understand the differences and use one agreed source for each metric.

Analytics counts website visits and actions. Listing sites count their own leads. Your CRM counts people who contacted you. The same renter can appear in all three, or be missing from one.

Choose a source of truth for each metric, such as the CRM for leads and the property management system for leases, and note it in the report.

If the gap suddenly grows, check for broken tracking first.

How do I include phone leads in reports?

Use call tracking so calls are counted by source, then match calls to tours and leases in your CRM.

Google Ads says connecting call data to your campaigns lets you identify which ads are driving valuable phone leads.

Use separate tracking numbers for your website, listing sites and Google Business Profile where your vendors support it.

Count unique callers, not total calls, so repeat calls do not inflate leads.

Should reputation be part of the monthly owner report?

It can be, because reviews could affect local search visibility and renter decisions.

Google says more reviews and positive ratings can help local ranking.

A RealPage analysis published by J Turner Research associates each 1-point increase in its ORA score with a 9.3 basis point premium in market returns. The method is not published there.

How do I know if my website, search and ads are working together?

Check that each channel sends renters to a relevant page with accurate information and an easy next step, and that tracking connects every channel to leads and leases.

Signs they are not working together: ads pointing to the home page, prices that differ between your website and listings, a Google Business Profile with old hours, or leads with no recorded source.

Google says landing page experience is part of ad quality, and NAA advises keeping information accurate and consistent across all channels.

A quick test: search for your community as a renter would, click each result and ad, and try to book a tour. Note every point where it breaks. MultifamilyMarketing.com offers a free Digital Ecosystem Check if you want a second look at how these pieces fit together for your community.
