Leasing and lead follow-up

Practical answers on speed to lead, tours, AI assistants and follow-up for leasing teams.

How fast should we respond to a new apartment lead?

Respond as quickly as you can, because one operator told NAA renters are asking for faster communication.

We did not find a current, primary apartment-industry study that sets a specific number of minutes, so we do not give one. Results vary by property and lead source.

In NAA's 2026 Spring Leasing Preview, one marketing executive said renters are asking for a simpler, more transparent experience and faster communication.

Practical steps: send an instant automated reply that offers tour times, route leads to whoever is available rather than one person, and cover evenings and weekends with an answering service or AI assistant.

What happens if we miss a prospect's phone call?

A missed call is often a lost lead, because many callers will not leave a voicemail or call back.

NAA reported LeaseHawk data in 2021 that 87% of callers won't leave a voicemail, and that most will never call back if their call goes unanswered. That is a vendor's data, so treat it as a directional signal.

Options include call forwarding to another team member, a leasing call center, or an AI voice assistant for after hours.

Track missed calls by hour and day so you can staff for the busy times.

How should we handle leads that come in after hours?

Give after-hours leads a way to get answers and book a tour right away, using an AI assistant, a call center, or online self-scheduling.

In NAA's 2026 Spring Leasing Preview, one property management executive said their company uses AI for 65% of its inbound after-hours traffic, so prospects can book appointments and tour when the office is closed.

Whatever tool you use, make sure it hands off clearly to a person the next business morning, with the conversation history attached.

Test it yourself after hours at least once a month.

What is a good lead-to-tour rate for apartments?

There is no reliable public benchmark that fits every property, so the best target is to beat your own recent rate, measured separately for each lead source.

We did not find a current primary source with a credible industry-wide lead-to-tour rate, so we do not give a number. Rates vary a lot by lead source, season and how leads are counted.

Measure it consistently: count unique prospects, not every email or call, and track website, listing site, phone and walk-in leads separately.

If your rate drops, check response time first, then whether your listings show accurate prices and availability.

What is a good lead-to-lease conversion rate?

It varies too much by source and market for a single benchmark, so compare your rates by lead source over time rather than against a national number.

Source matters. In NAA's 2026 Spring Leasing Preview, one operator's CEO said leads sourced from their websites convert at over 2.5x the rate of leads from other sources. That is one company's experience.

Measure each source from first contact to signed lease. A cheap lead that rarely leases can cost more per lease than an expensive lead that often does.

Share these rates with your owner so budget decisions follow lease results, not lead volume.

Are AI leasing assistants worth it?

They can be, especially for answering common questions and booking tours outside office hours, but results depend on setup, accurate data and a clean handoff to your team.

NAA's 2026 Spring Leasing Preview quotes an executive saying AI-driven leasing assistants can now handle inquiries and scheduling.

In a 2021 NAA article, one property management company said its leasing assistant reduced call volume by 20% and freed an average of 56.3 hours per month. That is one company's result, and yours could differ.

Before you buy, check what the assistant says about pricing, fees and pet policies, and confirm fair housing safeguards are in place.

What do apartment prospects ask about most?

Pricing and availability were the most common questions in one dataset, so make sure those answers are accurate and easy to find on your website and listings.

In a 2021 NAA article on virtual leasing assistants, 44.5% of the questions prospects asked bots were about pricing and availability. The rest were 14% rental qualifications, 9% application, 5.9% pet policy and 4.2% property amenities.

If your website hides prices or shows stale availability, prospects have to call or email, which adds steps and can lose leads.

Use the most common questions to build your website FAQ and your AI assistant's answers.

Do renters want self-guided tours?

Some do, but most still want an in-person tour, so self-guided tours work best as an added option rather than a replacement.

Multifamily Executive reported results from the NMHC and Grace Hill 2024 Renter Preferences Survey: self-guided tours dipped slightly to 38% in 2024 versus 39% in 2022, while 71% wanted an in-person tour with a property representative.

Self-guided tours can help with after-hours and weekend demand. They also need good signage, secure access and a clear follow-up from a person.

Offer all tour types and track which ones lead to leases at your property.

Are live video tours still worth offering?

They can be for some renters. In the NMHC and Grace Hill Renter Preferences Survey, the figure for a live video tour with a property representative rose from 13% in 2022 to 20% in 2024, as reported by Multifamily Executive.

Multifamily Executive reported that a live video tour with a property representative jumped from 13% in 2022 to 20% in 2024 in the NMHC and Grace Hill Renter Preferences Survey.

Make tours easy to book online, and record which leases came from them.

Should prospects be able to book their own tour online?

Yes, letting renters pick a time online removes back-and-forth, and at least one operator has reported that most self-scheduled appointments actually show up.

In a 2021 NAA article, Wasatch Property Management reported that 90% of self-scheduled appointments resulted in the prospect coming to the property for a tour. That is one company's data.

Show real available times, send reminders by text and email, and make rescheduling easy.

Put the booking button on every page of your website and in your Google Business Profile.

What is a good follow-up cadence for apartment leads?

Follow up quickly at first, then on a steady schedule across a few weeks, using the channel the renter chose, and stop when they lease or ask you to stop.

We did not find a primary study that sets a best cadence for apartment leads, so this is practical guidance rather than a benchmark. Results vary.

A common pattern is an immediate reply, a same-day personal follow-up, then touches over the next several days and weeks that add something useful, such as a new unit, a floor plan video or an answer to their question.

Respect the renter's channel and consent rules for texts and calls, and log every touch in your CRM so the team does not double up.

How do we track where our leads come from?

Tag every link you control with UTM parameters, use tracking phone numbers by source, and record the source in your CRM when the lead arrives.

Google Analytics explains that adding UTM campaign parameters to links in referral links and ad campaigns lets you see which campaigns refer traffic.

Ask listing sites and vendors for lead source data and match it with your CRM. Ask prospects too, but treat self-reported source as a backup.

Good source tracking is what makes cost per lease by channel possible.
